ARVO SEEKING PART TIME ADMIN ASSISTANT
Alaska Rural Veterinary Outreach, Inc., a non-profit organization, is seeking a part-time administrative assistant (AA). ARVO is overseen by a dedicated board of 6 volunteer directors. Our mission is to provide access to basic veterinary care, with a focus on spay-neuter surgery, a helping hand, and advocacy and education for Alaska's rural pets and their people. Our goal is to reduce the number of homeless, unwanted rural pets, reduce the high incidence of dog bites, especially to children, and increase the overall safety and health of rural communities. ARVO provides free or low-cost spay-neuter focused veterinary clinics to remote rural villages, primarily in the Northwest Arctic Borough. As ARVO has grown and established a successful program, this is a newly created position, and the successful applicant will be transitioning into the role under the primary supervision of the president. The AA will assist in operations of the organization in a manner that supports the core mission of ARVO. The AA works with the Board and stakeholders to support a sustainable and thriving organization. The initial time commitment is anticipated to average 5 hours per week. Salary is negotiable and dependent upon experience. The level of duties will be commensurate with the salary/number of hours funded, with the goal for the AA, in collaboration with the board, to obtain additional funding in order to sustain/augment their salary and gradually increase the time commitment and level of responsibility. Contingent upon funding and candidate suitability, ARVO anticipates an opportunity for the position to grow into a higher level of responsibility and time commitment. The AA will work from their home and other locations within the community as needed (no office space provided). The AA is expected to provide their own communications equipment (computer, phone, etc.) and transportation (personal vehicle). ARVO expects that the successful candidate would be committed to the position for a minimum of 2 years. Primary Duties and responsibilities: Board Participation/Relations Maintain regular communication with the President and other officers; inform Board on ARVO business as appropriate, ensure all items requiring Board approval are presented in a timely manner. • Schedule, coordinate, and lead board meetings as needed. Maintain accurate board meeting minutes. Fiscal Management • In conjunction with the Board Treasurer and the President, ensure sound fiscal operations of the organization including timely, accurate and comprehensive development and implementation of annual budget; prepare budgets and budget modifications for each fiscal year and grant cycle to meet and reflect program needs and priorities. • Ensure effective management of the annual budget and operations and be accountable for budget expenditures on an ongoing basis; oversee bank accounts and report to the board of directors regularly on the organization's finances. • Maintain accurate banking records, expense and income reports; ensure all bills are paid out in a timely manner. • Provide all required documentation to tax preparer annually. Fundraising and Public Relations • Ensure continued eligibility/enrollment in ongoing funding sources (CFC, Pick.Click.Give, etc.). • Seek new fundraising avenues and opportunities (research and apply for relevant grants, etc.). • Maintain and cultivate relationships with current and potential funders. • Maintain and expand our online presence including website and Facebook page; seek ways to increase our visibility (reach). Relationships and Partnerships • Network with other organizations with similar mission and objectives. • Maintain, cultivate and expand a collaborative partnership with key partners and stakeholders. • Cultivate relationships with the communities we currently and potentially serve. • Maintain and expand our contact mailing list(s). Operations and Administration • Manage current and future grants. • Maintain website and other social media sites (Facebook, etc.). • Maintain accurate files. • Pick up mail twice weekly from the ARVO post office box in South Anchorage Desired Qualifications: While no one candidate will embody all the qualifications enumerated below, the ideal candidate will possess many of the following professional and personal abilities, attributes and experiences: • Knowledge of and/or experience with animal welfare and rescue organizations preferred. • Bachelor’s degree in a relevant field or equivalent combined educational and work experience. • Previous leadership experience; excellent analytical, organizational development, finance and budget management, attention to detail, and administration management skills essential. • Demonstrated successful experience in grant writing and funds management. • Previous experience in effectively maintaining positive interagency relationships, implementing programs, strategies, policies, and procedures. • Must be able to pass a criminal background check. • Preference for applicants living in or near Anchorage, Alaska. Experience: Competitive applicants will possess most of the attributes listed above. Some management and/or administrative experience is critical. A successful candidate will have a solid understanding of funds, programs, and staff development, and demonstrate the ability to maintain strong relationships with allies, communities and individuals served, and funders and other supporters of ARVO.
